职位描述: Provide full and proficient secretarial support to the GM and senior managers (Directors) including typing, travel reservations, business correspondences, etc.
Arranging and coordinating travel arrangements for Shanghai office staff (sometimes as needed for staff from other locations) within company policy and providing basic administrative support for Shanghai office staff as needed
Man the reception area, manage office PABX system and attend to all incoming and outgoing phone calls, customers, visitors, suppliers, etc.
Perform other general administrative duties such as dealing with building maintenance people, contractors, courier services, postal and dispatch, directing mails and faxes, purchase of office and pantry supplies and cleanliness of the office
Maintain office equipment like copiers, fax machines, etc.
Assist to process and audit expense reports for GM’s approval, reconciling petty cash and maintaining check register which is submitted to Singapore office periodically
Creating and maintaining office files and archiving, maintain client contact database, etc.
Occasionally type, edit and proofread documents and correspondence
Help in organizing office lunches/dinners for visitors and staff functions
Cover and assist in HR administrative duties as required
Errands and other administrative duties as required – such as exhibitions, seminars, customer nights presentations
