- Department: Terminal Projects
Roles and Accountbllltles:
The Team Assistant provides a variety of administrative and secretarial support services to the projects group. Screens incoming calls and arranges appointments and meetings. Basic English and Chinese interpretation and translation. Prepare meeting minutes. Coordinate handling and distribution of incoming and outgoing correspondence and documents, maintains document receiving and delivery records, track status of those documents need joint approvals. Assist in arranging department meetings. Exercises judgment in determining priorities and performing assignments. Maintains confidential records, support the Terminal Projects Manager, and other members of the Project Management Team, with translation activities. etc.
Principal Activities
•Responsibilities will vary according to the specific demands of the day but will regularly include:
•Diary management, including control of the leave management and approval system and a PMT movement schedule
•Arranging travel and transport, including control of the travel management and approval system
•Assist in preparing presentations (Chinese and English)
•Maintaining communications with PMT members during travel
•Organizing and attending internal and external meetings
•Arranging team building and social and entertainment events within the PMT
•Written translation of incoming and outgoing documents and correspondence and preparation of new documents in both English and Chinese
•Interpretation at internal and external meetings including official reviews and presentations to local and national authorities
•Perform other tasks assigned by the Terminal Projects Manager.
The Project Assistant will also be required to undertake the Project Translator responsibilities when the Project Translator is not available or requires additional support.
