Responsible for the daily operations of office administrative procedures. Coordination and Logistics support on all OARDC and OARDC-Shenzhen activities, including but not limit to Staff Meeting, Kickoff Meeting, Annual Dinner event, Hi-Tech Fair, Staff Union activities, Class Of and other company wide training programs, etc. Coordinate with local HR, local Finance, local Facility, local Marketing/PR, as well as iProcument team in Australia and GFIC team in India to provide all operation/administration related support to ensure OARDC’s daily operation go well. Assist supervisor and team manager to executes office policies and controls administrative costs.
Responsibilities:
Coordination with internal development groups on Headcount reports and other company events organization and logistics arrangement with the support of supervisor or department manager.
Maintain and establish good relationship with local government and relevant government bureaus(SHIP, the tax bureau, the custom bureau, the labor bureau, etc.)
Equipment import/export procedure.
Data collection and tracking for HC, Operation cost, etc.
Assist on employees check in and check out procedures.
Provide assistance on Shenzhen Development Center’s payments procedures including employees reimbursements, and company related payables on daily basis.
Responsible for maintaining and evaluating office procedures and systems. Ensure efficient running and upkeep of office.
Maintain efficiently run office through proper office procedures and untiliztion of office equipment.
Requires typing activities assistance faxes and correspondence
Work closely with Facility team to sustain office maintenance, cleanliness, security and safety
Company Car and Receptionists management
Other responsibilities assigned by supervisor and department Manager.
Knowledge & skills requirement:
Bachelor degree with major in English, Marketing/Communication or Finance/Accouting
Computer software(Windows), good at EXCEL is a must, background on editing of website content is a plus
Ability to read, write and speak clearly and courteously in English & Mandarin
Have sense to numbers
Ability to work limited flexi-time due to company activities from time to time in early evening.
Ability to work on multiple projects at the same time
Easy-going personality, quick learner
Willing to learn new things, innovative thinking
Knowledge and/or background on accounting & bookings preferred
Knowledge and/or background on Marketing, especially on event organization preferred
Facility & building management background preferred
Thorough knowledge of the functions / capabilities of office facilities preferred
