ESSENTIAL JOB RESPONSIBILITIES:
1. Answer incoming phone calls and direct to the appropriate person in a polite and professional manner
2. Receive visitors in the lobby and notify person being visited to come and receive his/her guest.
3. Perform occasional clerical duties such as typing, administering stationary (including ordering and record
-keeping) and organizing support for office equipment;
4. Monitor the mail and courier correspondence tracking system, open, sort, date, log and route incoming and outgoing mail and courier items;
5. Schedule meeting room use and maintain a usage record; prepare the reservation sheet for the meeting room;
6. Receive and disseminate messages accurately, expeditiously and maintain confidentiality;
7. Act as the central point of contact for information dissemination among FII and CWG staff;
8. Assist Beijing Manager and others as requested in the preparation of letters, memoranda, reports, presentations, etc.;
9. Carry out other assignments as required.REQUIRED SKILLS, KNOWLEDGE AND ABILITIES:
1. Prior experience with Customer Service and Reception
2. Excellent interpersonal and communication skills, displaying tact, diplomacy, and professionalism in dealing with confidential and sensitive matters;
3. Excellent language skills in oral Mandarin and English. Written proficiency an asset;
4. Strong word processing and computer skills.
5. Superior organizational and coordination skills;
6. Problem solving skills and flexibility;
7. Good working knowledge of organization, products and programs;
8. Ability to contribute as a valuable team member;
9. Ability to work with and maintain confidential information or information of a sensitive nature.
