Purpose of this job:
To ensure a professional, efficient and service oriented face of the company towards customers, visitors and employees. The reception is the first greeting with the company whether by telephone or in person. As such the receptionist is an ambassador for the company.
Area of responsibilities:
Reception area
· Operate switchboard properly, ensure transfer phone call to right person.
· Friendly gesture for visitor receiving.
· Guest registration, supply guests with visitors badges after registration.
· Know each meeting room condition, maximize reasonable arrangement.
· Give first aid and medicine supply.
· Update telephone list for our related vendors.
· Ensure the sufficient post forms to be provided.
Repair and maintenance office equipment
· Ensure copy machine, fax machine and water dispenser in normal working condition.
· Keep repairing efficiently.
· Guarantee maintenance & repairing quality.
· Solve simple problems in copy machine such as paper jam, etc.
Name card printing
· Ordering name cards and for obtaining a good quality at a reasonable price.
· Confirmed contents with printing company via fax.
· It is necessary to sign when employee received name card.
· Divided the bill into different business unit.
Post service
· Carry out airmail registration system.
· Knowledgeable on relevant post business.
· Help employee making right deliver service selection.
· Divided postage into different business department.
Meeting room
· Fulfill meeting room registration system
· Know meeting room condition at any time
· Fully understand detail function of equipment
· Keep equipment in good condition
Stationary and office daily use supply
· Provide stationary within list as employee required
· To know the reason for large quantities of stationary needs
· Prepare monthly consumption report in each dept. before 8th of each month
Hotel reservation and Pick up service
?Knowing well customer requirement and give right support to hotel recommendation and reservation through purchasing process.
· Keep the Pick up service provided in right way and responding quickly..
Supervision:
Visitors, incoming fax
Main Customers:
Internal customer: All employee
External customer: Suppliers and Contractors; visitors, patient
Education and Experience Requirements of the job holder:
· Office education or some other relevant education
· Good interpersonal skill
· Fluent in spoken and written English
· Team work spirit
· Good computer skill
· Good communication skill
