Responsibilities:
1. Perform all usual operator functions: receive, screen, connect and / or transfer calls. Answer switchboard incoming calls courteously by greetings and transfer them to the appropriate individual, offices or departments. Ensure the switchboard is answered at all times during business hours.
2. Record name, time of call, nature of business, and person called upon. Answer inquires appropriately.
3. Maintain and update the company telephone list and distribute the list to relevant users of the Company.
4. Exercise discretion and interpretive judgment in frequent and often stressful contact with public.
5. Be responsible for opening and closing switchboard. Be sure that night service or night auto
-answering is functioning outside business hours.
6. Greet and assist the visitors (customers, clients, vendors, job applicants, employees, and other visitors) in contacting the appropriate individual or departments to which the visit is being made to and assures that they are escorted to the proper offices. Ensure that visitors are signed in and badged appropriately.
7. Receive, log and transmit facsimile messages accurately and in a timely manner.
8. Type letters, reports stencils, forms addresses or other straight
-copy material from rough draft and corrected copy, etc., accurately and on time with the use of MS office knowledge.
9. Open and read mail which does not have a department name or individual`s name on it and try to determine the person or department to send it to, or transfer them to the Administrative Assistant or HRA Manager for determination.
10. Sort and distribute incoming mail to appropriate individual and department. Prepare outgoing mails and packages for delivery on timely basis. Obtain proof of delivery and maintain accurate records.1
1. Maintain and verify the postage in the daily log accurately and settle the postage with post office on regular basis and allocate them to the proper departments.1
2. Prepare the monthly clock in/out report.1
3. Maintain a strong sense of confidentiality of company business and personal information as classified by the company.1
4. Assist to manage office admin. tasks such as stationery order and control, travel arrangement for all employees, visitor reception and meeting arrangement.1
5. Perform other clerical duties and responsibilities as required or requested.Requirements:
1. College degree major in English or Secretary.
2. CET 6 or above.
3. Have polite manner and easy to work with.
4. Presentable and nice voice.
5. Good service attitude and hard working.
