Egon Zehnder International is a privately-owned global management consulting partnership which helps organisations in the private and public sectors resolve the challenges of finding, evaluating and developing their future leadership.

Founded in Zurich in 1964, the partnership now has over 300 consultants worldwide, operating from 62 offices in 37 countries. Its main activities are senior level executive search, corporate governance advisory work, board search, management appraisal and talent management. In the Asia Pacific region Egon Zehnder International has offices in Beijing, Hong Kong, Jakarta, Kuala Lumpur, Melbourne, Mumbai, New Delhi, Seoul, Shanghai, Singapore, Sydney and Tokyo.

The Position

Office Administration
• Take on the role as Receptionist of the Office and manage incoming calls and greet clients.
• Manage couriers, taxis and special deliveries upon requests.
• Manage the purchasing and maintenance of stationery and other office supplies.
• Manage office maintenance and repairs, if any.
• Give general information in response to public inquires on our practices and direct calls to appropriate consultants in charge.

HR
• Manage FESCO and/or other HR outsource vendors on overall personnel filing, social security benefits.
• Support hiring and training for the office. Provide orientations to new hires based on the Employee Handbook.
• Help conduct annual Performance Review and consolidate appraisal results.
• Ensure the follow-through of corporate policies and procedures.

Accounting
• Manage annual audits and related business license renewals.
• Manage the petty cashes for the office.
• Prepare payrolls for the support staff in the office.
• Prepare and submit the financial/accounting reporting to the Accounting Manager based in Shanghai.
• Help the Accounting Manager to supervise the implementation of the accounting policy in the office and ensure the follow-through of internal policy on corporate governance.
• Provide constructive suggestions to improve office productivity/reduce costs and contribute to the achievement of projects.

Support to Consultants
• Performs clerical tasks such as typing, translation or dictation, upon request.
• In the absence of other assistants or whenever needed, provide support to consultants on client management and marketing initiatives.

To be successful in the role, candidates must demonstrate the following competencies.

• Professionalism – Demonstrated high work ethics and personal integrity. Properly represent the Firm with an approachable personal style. Punctual at work.
• Result orientation – Demonstrated abilities to deliver quality results with accuracy and thoroughness. Self-motivated to work independently without supervision and under pressure. Able to be multi-tasking, efficient and deal-line driven.
• Customer Orientation and Dependability – Reliable, responsible and responsive. Follow through instructions and commit to delivering solutions. Manage difficult situations with a positive attitude. Respond promptly to requests. Willing to make extra miles to get the best results.
• Planning/Organizing – Use time effectively. Provide organizational support to complete administrative tasks correctly and on-time.

The successful candidate should demonstrate a college degree preferably with a major in English or Accounting. He/she should have complete fluency in both spoken and written English and Mandarin. Prior experience as Receptionist and/or in administration is a plus.
