1.Ensures at all times that the site is maintained in a secure manner, visitors are appropriately greeted and registered, and movements in and out of all goods, staff and other visitors are appropriately authorized.
2.Telephone answering, fax receiving and forwarding.
3.Post-in, post-out registration and distribution (letters, courier and other parcel, news paper, magazine etc.).
4.Ordering and distribution of office stationery, scouring all kinds of office supplies, office kitchen and lunch etc.
5.Manage public service utilities like calling for taxi, conference room occupation, beamer in-out record, door key record etc.
6.Assists office administrator on traveling arrangements (hotel/flight booking, transport arrangement etc).
7.Responsible to keep the reception area and the office entrance in a neat, structured and presentable condition, as it can be expected from a CARL ZEISS office.
8.Staff irregularities have to be reported to the DM first and then to the MD if no improvement is achieved after the 2nd verbal warning. Such irregularities include but are not limited to:
-Apprearing frequently late to work
-Attitude
-Appearance e.g in-adequate dress. As a general rule here, staff should be always dressed better than the customers they visit. The dress shows the appreciation you have of the people you see!
9.Backup administrator during her absent or when necessary.
10.Execute other incidental and related duties as required and assigned by management.
11.Follow up the project comes from administration manager.
