Job Summary:
Support talent management initiatives;
Communicate with the talent on continuous performance improvement, employment questions and problems;
Communicate Ogilvy’s procedures regarding employment, expectations, job requirements, benefits, and other employment conditions;
Conduct appropriate interviews with Junior/Middle level candidates and discover to understand the candidate’s expectations, objectives, and related requirements;
Investigate talent concerns/complaints, contact employee relations, and communicate with (S)TRM to follow up;
Solicit, receive, and process talent requests in a timely manner;
Conduct group TR programs;
Perform the duty of Assistant role when necessary occasion.
Functional Operation:
1.Recruitment & Hiring
Conduct phone interviews and/or face-to-face interviews for Junior/Middle level staff;
Arrange important interviews for hiring managers and (Sr.) TRM, (Associate) TRD;
Follow up recruiting process and keep close communication with hiring managers;
Trace interview record;
Communicate with Junior/Middle level candidate about the offer;
Prepare hiring request forms, labor contracts and related documents;
Cycle board update and coordinate with other department about the on board preparation;
Conduct background and reference checks.
2.New Staff Induction
Prepare welcome package and make sure it’s in place on each on board date;
Prepare first day orientation schedule and be the felicitator and presenter;
Ask for relevant personal information for welcome letter;
Coordinate with team leaders of new staff to do job/team structure introduction;
Prepare welcome letter on the 1st day of the new staff;
Collect all the documents from the staff and keep record;
Remind supervisor do probation review, collect and check the review feedback.
3.Staff Record Management
Key in staff information to all the database in a timely manner;
Renew database as soon as changes happen;
Update team structure with (S)TRM’s instruction;
Prepare Monthly TR status report and other staff statistics reports;
Keep updating alumni database and keep contact with the alumni..
4.Intern/Contractor management
Prepare intern/contractor contract and related documents;
Coordinate and supervise intern/contractor’s check in and check out;
Update intern/ contractor list;
Prepare monthly fee applications for intern/contractor
5.Expatriate and Local Staff Permit/ Visa
Handle Expat. visa, working permit, resident permit and insurance issue;
Handle Expat moving and house searching related issue;
Handle local staff business visa application;
Handle work & living permit issues for local staff.
6.Performance Appraisal
Assist in rolling out performance review name list, prepare and dispatch review form;
Follow up the appraisal process, trace and collect feedbacks;
Check and keep appraisal record
7.Training
Update and maintain training database, esp. Online University;
Support on training facilitations.
8.Other HR Operations
Support (Senior) Talent Resources Manager on preparing monthly promotion announcement;
Preparing poster of promotion announcement;
Assist resigned employee in going through check-out process;
Support on employee internal transfer;
Take part in resigned employee exit interview;
Support on preparing all kinds of HR report, such as Acid Test Report, Exit Interview Report, etc.;
Implement group TR programs with the instruction from TR leaders;
R Drive maintenance;
Update TR-Online resources.
