JOB OBJECTIVES:
According to the instructions from the supervisor, provide reception service for the company and support administration team as well as the mailing room in order to assist the daily administrative operations of standardized situations.
MAIN RESPONSIBILITIES:
1. Perform basic works including telephone exchange, visitors treatment, name card printing, courier management, stationery dispatch, conference room booking via Lotus Notes system, updating door card informaiont,company car arrangement,updating telephone list and cost center on a monthly basis, etc.
2. German Visa application document double checking and arrange delivery.
3. Be responsible for the arrangement, coordination with the service provider for office equipment, building facilities regular maintenance and minor repair.
4. Be responsible for contacting with the agency for customs clearance of sample,equipment and other things.
5. Settlement of vendors contacted by Admin.
6. Support HR to collect medical reimbursement slips of BCHB employees, collect all the suggestions and send them to CSS coordinator.
7. Ad hoc assignment of Office manager
8. Act as Safety Officer and be responsible for the safety issues in reception & meeting room area.
9. All payment orders related with Admin and vendor loading form.
10. Newspaper & magazine ordering and subscription.
11. Applying for the fixed assets
