Job Summary
Assist in talent management initiatives
Clear of the Talent Resources Plan with the objective of supporting individual and organizational growth.
Keep active communication within the staffs to know employees’ questions and problems
Be sensitive to staffs’ concerns/complaints, help keeping employee relations, and follows-up appropriately.
Solicit, receive, and process talent requests in a timely manner.
Assist in training arrangement or other company activities.
Functional Operation
Recruitment
Screen resumes, update talent pool, arrange written test;
Arrange interviews for hiring managers and (Sr.) TRM, (Associate) TRD;
Follow up recruiting process, send out thank you/rejection letters in a timely manner;
Maintain interview record and creative work;
Support campus recruitment;
Assist in referral record and dispatch resumes;
Keep basic contact with recruitment website or headhunters;
Conduct background and reference checks.
New Staff Induction
Prepare welcome package and make sure it’s in place on each on board date;
Ask for relevant personal information for welcome letter;
Coordinate with team leaders of new staff to do job/team structure introduction;
Prepare welcome letter on the 1st day of the new staff;
Collect all the documents from the staff and keep record;
Prepare monthly New Staff Announcement;
Prepare Probation review form, remind supervisor do the review, and collect review feedback.
Staff Record Management
Key in staff information to all the database in a timely manner;
Renew database as soon as changes happen;
Update team structure under TRM’s instruction;
Prepare Monthly TR status report and other staff statistics reports;
Keep updating alumni database
Intern/Contractor management
Prepare intern/contractor related documents;
Coordinate and supervise intern/contractor’s check in and check out;
Update intern/ contractor list;
Prepare monthly fee applications for intern/contractor
Expatriate and Local Staff Permit/ Visa
Assist in expatriate document collection for Visa, Working Permit, Resident Permit and Insurance etc.;
Handle local staff business visa application;
Handle work & living permit issues for local staff
Performance Appraisal
Assist in rolling out performance review name list, prepare and dispatch review form;
Follow up the appraisal process, collect feedbacks;
Keep appraisal record
Training
Update and maintain training database, esp. Online University database;
Support on training facilitations.
Other HR Operations
Support (Senior) Talent Resources Manager on preparing monthly promotion announcement;
Assist resigned employee in going through check-out process;
Support on employee internal transfer;
Coordinate with Red Works to do name card printing;
Preparing invitation letters or non-salary employment certificate;
Implement group TR programs with the instruction from TR leaders;
Team Administrative work;
R Drive maintenance;
Ogilvy souvenirs
Professional Skills
Communication
Keep close contacts with staffs, especially junior to middle to know their needs and seek for improvement all the time
Constantly promote Ogilvy culture and communicates it wherever and whenever possible.
Show the initiatives to HR policies, especially on its implementation.
Keep contacts with external HR providers, legal consultants and recruiters to improve the HR product
Financial management
Work with related finance staffs on providing HR related data
Technical Expertise
Effectively use HR system to provide data and reports
Identify the need for employee databases and systems and manages their implementation and on-going delivery
