KEY RESPONSIBILITIES
Sales
Together with the team:

Main order flow
  • Key in orders into system right after conferences, issue order confirmation and edit orders based on demand from sales or customers
  • Right after shipment release, create proforma invoice and send to customers for payment planning
  • Update the payment record of individual dealers for main order release
  • Work together with logistics to fulfil the delivery plan by week and by month level

Repeat order flow
  • Delivery of repeat order once orders are booked in system
  • Follow up on the stock condition and communicate with customers and merchandising for improving stock turn(shoes and accessories)
  • Together with the sales team to clear DSL
  • Whenever accessories arrive in warehouse, create order in system according to the original order request.

Marketing:
  • Ensure that all orders for marketing materials are placed on time
  • Ensure that all customers are informed with any new developments

Collection/product:
  • Ensure that the markets are kept informed about any changes in the collections
  • Be familiar with ECCO products shoes and accessories

Logistics
Seasonal planning and co-ordination together with Logistics on:

  • Supervise dispatches and delivery performance
  • Follow up on main order based on information from logistics
  • Ensure dealers are fully aware of any delay or cancellation
  • Update and inform customers the status of outstanding orders especially on key accounts
  • Monitor and make reports on delivery performance against customer request
  • Ensure that backorders are kept to an absolute minimum
  • Work together with logistics to clear J0 and A01

Finance:
  • Follow up on debtors together with Financial Controller
  • Support communication with dealers on payment and credit management etc.

Service
  • Ensure that feedback of inquiry or complaint from customers is done in 24 hours
  • Fill in reception during the leave of receptionist

Reporting/information
  • Collect dealer's monthly report---5th every month
  • Collect key dealer's weekly report-- Tues. every week
  • Dealer stock analysis---5th every month
  • Main order status update------ Wed. every week
  • Prepare account/stock status to dealer----Mon. every week
  • Claim summary-----weekly
  • Report any major deviations from overall plan to immediate superior
  • Pro forma invoice, A&A order-----finish in 5 days when data available

Sales conference:
  • Coordinate with customers on participation issues and update information as well as arrangement of accommodation
  • Maintain and pack/unpack samples during sales conference
  • Help keep the discipline and flow of the conference as agreed upon
  • Other service related matters during conference

Claim
  • Communicate with customer/consumers on claim information collection and handling
REQUIREMENTS
  • Able to work independently with strong self-initiative, good sense of service
  • Experience in customer order fulfillment, shipping, and delivery
  • Good command of English and Chinese in both speaking and writing
  • Good analytical and problem solving skills
  • Basic functions of SAP & Business warehouse
  • Proficient with MS Excel
