Job Description
1. Classification
Job Title: Customer Service Representative
2. Responsibilities:
2.1. General:
• Continuous and efficient communications with customers by phone, fax, and e-mail and by customer visits. Understand specific customers' needs and expectations, and communicate the needs of customers to operations.
• Respond rapidly to customer inquiries, relay information and properly document the correspondences between the customer and LTS.
• Receive orders from customers and process in a timely manner.
• Send service quotations to customers.
• Send and receive customer requests and approvals.
• Generate invoices and coordinate with Financial for payment follow-up and solving of disputed invoices.
2.2. Essential
2.2.1. External & Internal Liaison:
• Act as the single interface with customers for all external communication.
• Interface with internal sales staff:
• Follow up on orders taken by sales staff
• Alert sales staff to customer issues requiring attention
• Interface with operations: know status of orders in house and provide accurate, complete information for sales order to flow correctly through operations. participate in production meetings; report on current and forecast orders.
• Interface with Quality Assurance on any quality or customer complaint / warranty issues.
• Interface with Financial on invoice issues.
2.2.2. Order control:
• Receive order confirmation (or hard-copy PO) from customer for every order
• Data entry of sales orders in Visaer system.
• Follow-up of order process and report the status to customers.
2.2.3. Invoicing
• Data collection and invoice generating.
• Coordinate with Financial to follow-up payment and solve disputed invoices.
2.2.4. After-sales
• Communications with customers to get customer feedback.
• Coordinate with Quality Assurance in handling customer compliments, complaints and warranty claims.
2.2.5. File maintenance:
• Maintenance of customer files in Visaer system.
• Maintain customer-specific requirements for future orders and/or history of the account.
2.3. Others:
• Performs any other duties as assigned.
3. Qualification Requirements:
• University degree in International Trade or Commercial Administration related, or any other equivalent qualification proved to be suitable for the job.
• More than 2 years working experience on position of customer service or commercial administration.
• Knowledge of aviation and MRO business is advantageous.
• Thorough product knowledge. Full understanding of customer service philosophy.
• Ability to be persuasive with customers, customer oriented manner to keep customer satisfaction.
• Excellent communication skills (oral and written) in English and Chinese required.
• Good skill in use of relevant IT systems.
• Ability to work in teams as well as independently
• Knowledge of company's organization and procedures.
• Ability to work under deadline pressure and extra hours if needed on assignments.
