Job Description
Admin. Assistant & Receptionist will be responsible for providing administrative support to internal customers. He / She will perform duties including: greeting customers, answering phones, renewing hotel contracts, filing, typing, coordinating meetings and conferences, maintaining relationships with supplies, coordinating mailings.
Report to Assistant Administration Manager
Job Description:
l Responsible for reception service, answering incoming calls, transferring to appropriate staff, aking/distributing messages, greeting visitors, handling requests for information and directing visitors to appropriate locations
l Coordinate meeting room booking and telephone conference equipment setting
l Coordinate mailing, shipping and courier requirements
l Manage vendor relationships related to ordering and updating office supplies, renewing hotel contracts and miscellaneous office equipment maintenance and repair
l Statements checking and payment requisition making. (e.g. flight tickets etc.)
l Responsible for the procurement of office supplies, stationery and other office necessities; review and order newspaper, magazine and book for colleagues; responsible for business card printing.
Qualifications:
l Coordinate internal company correspondence
l Perform general administrative assistant duties including: typing, copying and filing
l Perform other duties as needed and directed by Assistant Administration Manager
l College graduate or above
l Good verbal and written communication skills, fluent in English
l Well-organized, customer-oriented
l Knowledge of MS Office (Word, Excel, PowerPoint and Outlook)
