We are currently planning to aggressively expand our operation in mainland China with ongoing exciting and challenging positions available. Thus, we are seeking talented people to join Hays to provide administrative support to our business. You will provide coverage to the front desk during regular business hours, which includes answering route phone calls and taking message, as well as greeting visitors in a professional manner. Other logistics like sorting and distributing incoming mail and packages are also necessary. As an expert at recruiting industry, you will face with elites from every work of life.

 

As the successful applicant, good English language skills are required both in writing and speaking. College degree or above and familiar with Microsoft Office (Word, Excel, and Outlook) is a must. Team player with excellent communication, interpersonal and organization skills will make you outstand.

OFFICE ADMINSTRATOR/SALES ADMINISTRATOR

 

Data processing

·         Timely and accurate input of customer information on the database

·         Generate, amend and attach candidate resumes

·         Input job specifications onto the Ops System

·         Raise appropriate “non-standard” correspondence in response to candidate and client enquiries as requested by consulting staff

·         Generate and send e-shots and mailers, as requested by consultants

·         Scan and upload relevant materials (such as TOB, Candidate Registration forms, Offer letters) on Ops System

·         Report duplicates of organisation/candidate/contact in system to the management  for further actions

 

Administration

·         Handling teams inbound telephone calls effectively and efficiently

·         Co-ordinate client and candidate functions as requested

·         Undertake filing, faxing and photocopying as required

·         Ad-hoc duties as requested

·         Updating weekly and monthly team meeting minutes

·         Generate various reports from Onetouch for managers

·         Back up as receptionist during lunch hour

·         Contracts follow-up, uploading, coding

·         Make Powerpoint presentation for client meeting

 

Advertising

·         Assist in preparing and translating English advertisements to Chinese advertisements then upload to job boards.

·         Assist in preparing and sending eshots

·         Assist in preparing advertising copy for relevant positions as directed by consulting staff in accordance with marketing policies and deadlines

·         Liaise with marketing department regarding advertising copy and deadlines

·         CVs downloading from external job boards

·         Assist to coordinate with marketing for various event

 

Critical Processes & Compliance

·         Demonstrate commitment to Critical Processes

·         Conduct weekly office audits for the following to ensure 100% compliance:

o  Reference checks

o  TOB Variation and/or TOB uploaded to Ops System

o  Declaration of own free will when necessary

o  Aftercare calls/checks

·         Initiate and follow up any remedial action to ensure adherence to Critical Processes and Compliance

·         Escalate any non-compliance issues to Management

Internal Recruitment Coordinator, China

 

Reporting to

Internal Recruiter, China

 

Role objective

Provide administrative support to Internal Recruitment in China

 

Job Description

·         Post and update recruitment adverts in a professional way on websites (Chinese and English) - internal intranet, , job-boards and LinkedIn and etc.

·         Ad hoc support to Internal Recruiter as required

·         Assist in candidate sourcing via Linkedin, Zhaopin CV downloading, cold calling and social network approach as required

·         Assist in candidate screening for potential Corporate Services, Researchers and Associate Consultant from Assessment Centre (if required)

·         Assist internal recruiter / line managers with the interview arrangement, candidate feedback delivery after interview, closely follow up the hiring process

·         Assist or liaise with other internal recruitment coordinator  in the preparation and set up of Assessment Centres (printing, sending invites and data collection, candidate confirmation)

·         Assist with the administration of internal vacancies, including the collection of candidate checks/compliance before on-boarding

·         Assist with the planning and preparation of campus recruitment activity

·         Assist to set up the internal candidate database (by spreadsheet or OneTouch internal recruitment system - tbc)

·       Developing and maintaining recruitment channel by logging in student BBS and referring potential candidate from universities for intern position

·         Regularly update internal recruitment statistics and reporting as required

·         Filing/ internal database maintenance

 

Skills & competencies

·         Grade 3 students (at least 3 days / week)
