Receptionist
Job Description
Responsibilities:
Provide front desk and a broad range of office and administrative support for the office and our visitors. You will also be required to provide secretarial support to lawyers as and when required.
Reception duties
- Answer telephone calls and handle general enquiries
- Receive office guests
- Handle incoming and outgoing mails, fascmiles & documents
- Deal with international couriers and weekly inter-office pouches
- Handle booking of meeting rooms
- Maintain tidiness of meeting rooms and reception area
- Display update firm brochures at reception area
- Coordinate with the landlord for office maintenance
- Coordinate office equipment maintenance
- Distribute access cards to staff and authorized visitors
Administrative support to the office and Office Manager
- Assist in event support and coordination, including organizing conferences, business and office functions, trainings if necessary
- Assist in preparing payment and reimbursement requisition plus coordinating fa-piao for office expenses
- Update and maintain client database
- Maintain library, pantry & stationary supplies
- Any other administrative and ad-hoc duties as assigned by Office Manager
Secretarial duties – as and when required
- Provide secretarial services to lawyers, such as typing, photocopying, binding, filing, handling time entries, arranging appointments and meetings, writing simple correspondence and doing translation works etc.
- Organize business traveling and hotel arrangements for lawyers and overseas visitors
Requirements:
- A recognized university degree from Business Administration, Hotel Management, or English Language studies
- Fresh graduates are welcome. Some experience in carrying out receptionist / customer services / secretarial and administrative support will be highly regarded
- Cheerful and pleasant personality, hard working and service-oriented attitude
- Highly organized with the ability to prioritize and strong sense of responsibility
- Self-motivated, able to work independently and under pressure with multi-task assignment
- Good communication and interpersonal skills
- Detail-oriented, proactive and responsible
- Familiar with Windows, I-Manage, Outlook, and MS office applications
- Good typing skill
- Good spoken and written English and Chinese
