(VISA
SECTION)
JOB TITLE: ADMINISTRATIVE ASSISTANT
MAIN
RESPONSIBLITIES:
- Responds
promptly and courteously to inquiries received over the counter, telephone
and email about visa qualification and application.
- To
performs a wide variety of clerical functions and duties pertaining to
visa processing as follows:
- pre-screening
of visa forms for completeness of information;
- performs
data verification of visa applications using electronic and manual information
systems;
- printing
visas and distributing passports;
- Liaising
with service provider who provides visa services support;
- Responds
to online information request and provide appropriate information; and
- Maintains
appropriate filing of applicable receipts, reports and statistics.
- To
assist the application of Malaysian passport and emergency certificate.
- To
assist on receiving payment and issuing receipt.
- To
work closely with local authorities or relevant department on related
immigration matters.
- To
acts as an interpreter for visa applications when required.
- To
perform any other administrative and clerical duties as assigned by
Consulate General, Visa Officer or appropriate supervisor from time to
time.
REQUIREMENT:
- (Education)
Diploma or above in administrative/management or related fields.
- (language
proficiency) Fluent written and spoken English is required. Able to
provide translation of English and Chinese.
- (Job
Knowledge) Must have general knowledge of Malaysia visa process
procedures.
- (Skills
and abilities) Must possess excellent customer service skills and the
ability to adjust to change, ability to work in a team, and handle complex
or difficult situations independently under minimal supervision.
- (Additional
Skills) Information technology and computer skills including words
processing and spreadsheet.
