Reports To:Membership & Corporate Visa Program DirectorBusiness Objective:This position specifically provides administrative support to the membership department. When necessary, back
-up support will be provided to the CVP office (as directed by the Membership & CVP Director).Overview of Responsibilities:External Membership ContactsRespond to new membership join related inquiries by phone, fax and email.Respond to rolling membership renewal related inquiries by phone, fax and email.Perform database searches and compile reports as instructed by the Membership & CVP Director.Attend new member orientation cocktail evenings to help greet members and distribute orientation packages.Internal Membership ContactsAdminister filing of all new member hard copy applications, renewal hard copy forms and other relevant member updating information materials.Processing of new member hard copy applications and data entry of membership records during the renewal period.Assist with the preparation of the new member orientation packages.Coordinate production and ordering of new member card on a monthly basis.Assist with the preparation of new member information packagesAssist with the updating of information on the AmCham Shanghai database.Prepare the monthly new member list for BoG meeting and proofreading monthly new member list for Insight magazine.Track and follow through on hardcopy new member applications to completion.Assist with the updating of changes to membership information in all our communications i.e. website, New Member Orientation Packages and prospect information packages.Export member information for Insight distribution and annual membership directory distribution.Ad hoc membership department duties as assigned by the Membership Manager.Skills/Experience Required:Excellent interpersonal skills and a high level of professionalismStrong computer skills including Microsoft Word, Excel and PowerPointAbility to handle multiple tasks simultaneouslyStrong attention to detailsMust possess advanced level of English and Mandarin
