Responsibilities:
-Answer incoming calls with a polite and professional manner.
-Divert incoming calls to the right persons efficiently, if needed.
-Update directory list frequently and dispatch it timely.
-Be polite and helpful. Receives visitors and directs them to the appropriate personnel.
-Maintains an appointment book of visitors and clients.
-Distribute incoming tickets/mails/courier/document/faxes promptly and accurately.
-Keep a clear and organized record for all incoming and outgoing courier documents/packages.
-Get conference rooms/meeting equipment ready on time.
-Maintain office equipments in good condition, may need to contact with suppliers/contractors/ building management company.
-Operate all office equipment, such as telephones, switchboard, fax, and photocopiers.
-Maintain office stationery,food and water supply,and so on..
-Update and print business cards,and anything related to printing issues.
-Arrange business traveling like handle hotel accommodation, tickets booking.
-Support Office Manager in office routine Administration work.
-Supervise the daily duties of the office cleaning staff.
-Manage and maintain the business filing systems.
-Assist preparing for company event like annual dinner, travel, team building, and so on .
-Assist making and distributing timecards ,and checking on work attendance.
-Maintain all records of Attendance/Leave/Overtime, and provide monthly reports to HR .
-Assist recruitment like receiving candidaters,distributing applying forms,and so on.Requirements:
-Bachelor degree.
-Fluency in oral/reading/writing Chinese & English.
-Good PC skills working with Microsoft Word, Excel, Outlook.
-Pleasant personality with good telephone manner, self
-motivated and strong sense of responsibility.
