JOB SUMMARY
ESSENTIAL DUTIES & RESPONSIBILITIES
– Timely answer/screen the telephone calls and transfer calls to the appropriate individuals, clinics or departments in a professional manner. Take telephone messages for staff if necessary. Greet guests in a cheerful manner.
– Send, Receive and distribute mails & couriers.
– Update extension list in shared folder once there’s informed change with accuracy & timeliness.
– Ensure timely and accurate stuff delivery by shuttle bus and courier.
– Support in the onboard process of new hire, including but not limited to ensuring timely name card printing for newly hired staff, office space arrangement, new stationery distribution
– Book / purchase air/train tickets, hotels & car rental (Jinjiang & etc.) for staff and guests &consolidate/confirm monthly flight fare, hotel & car rental expenses, etc. with the respective vendors.
– Monthly admin expenses consolidation & making payment, including but not limited to courier, telephone, printing (name cards, encounter form, etc.), 263 Conference call, plants rent, drinking water, shuttle bus/company car, patient transportation van, office rental & utility fee. Order stationeries / Office stuff for Corporate office.
– Contact the vendors for integrated printer/Xerox machine & water purification machine maintenance & fixes to ensure the office operate smoothly.
– Conference room / webex / 263 conf. call booking and co-ordination, making sure no conflicts should occur.
– Other admin support/co-ordination requested by the supervisor, viz, events include but not limited to annual dinner, ground breaking ceremony, Townhall Meeting & company outing if any.
– Office Hygiene & pest control.
Qualifications
Education and/or professional qualifications (minimum requirements)
– College degree or above
– Minimum 2 years relevant working experience
Job Knowledge, Skills or Abilities (demonstrate skill in Administration, Management and Team working)
– Computer literature
– Strong English - reading/writing (other languages are a bonus).
– Effective communication Skill & Teamwork Spirit & Can-do Attitude.
– Medical knowledge (strongly preferred)
