Job Title: Executive Assistant

Reporting to: Managing Director, RGAx, Asia

Location: Shanghai, China

Role overview:

The executive assistant will support RGAx managing director providing a wide range of secretarial, marketing, and other general support duties. Executive support includes but is not limited to the following:

Administrative Support

l  
Assist with client meeting organization by planning and carrying out all necessary logistics and details.

l  
Handling phone coverage with inside and outside contacts in a professional manner.

l  
Liaise with external and internal contacts

l  
Prepares expense reimbursement reports.

l  
Prepare and/or edit PowerPoint presentations, letters and reports for meetings and

conferences.

l  
Receiving walk-in guests.

l  
Other duties assigned.

Travel Arrangements

l 
Book extensive international/domestic travel and build complex itineraries and agendas.

l 
Arrange and coordinate travel itineraries for visitors to the office.

l 
Travel support for all RGAx employees in the region, including travel and conferences

booking, etc, even for non-China based employees.

Calendar Management

l   
High volume scheduling, updating and cancelling meetings as required and ensuring calendars are up-to-date at all times.

l   
Prioritize and flag important issues.

Supporting seminars/marketing events (i.e. compose/distribute invitations, confirmation of attendees, reception at seminar/marketing event, etc.)

l  
Supporting and organizing internal and external marketing events as needed.

l  
Delivering external important documents as needed.

Qualifications & Experience:

· College or above degree with majoring in English, Business admin or related

· 2-3 years related working experience as similar role in multinational companies

Skills & Competencies:

· Details oriented and responsible

· Excellent communication skills in English and Chinese - both written and verbal

· Highly motivated, results oriented and solutions focused

· Highly organised with ability to effectively prioritise and self-manage workload

· Excellent service consciousness, pleasant and outgoing personality with professional

appearance, be willing to do more.
