Key Responsibilities & Tasks
* Receive visitors and perform duties to operate telephone switchboard to receive and replay incoming calls to appropriate parties.
* Maintain and update company telephone directory, add new information to the PABX, allocating trunk and IP bills by cost centers
* Maintain office facilities in the mail room, such as copier, fax machines, shredder.
* Prepare door access card by updating information to the access system and distribute employee badge.
* Provide facility services on name card printing, stationery ordering, distribute incoming faxes, mailings and air-ticket etc., updating company news board, distributing any notices to all customer, and handle all rush requests promptly.
* Schedule and manage conference rooms.
* Check and pouch financial documentation and consolidate cost and budgeting report.
* Collect local insurance claim paper.
* Liaise with all business on annual ordering project, calendar, planner, plastic bags etc..
* As core coordinator and first aid provider, assist on office HS&E & office risks management, first aid kit management.
* Involve any project assigned by his/her direct report
Experience & Qualification
* Bachelor Degree, major in English, Business Administration, Finance and Accounting, or other related majors.
* Fluent in English and Mandarin speaker, knowledge of any Asian languages is a plus.
* Proficient in PCs and MS Office Appliances (i.e., Word, Excess, PowerPoint ) as well as internet knowledge.
* Good interpersonal and communication skills.
* Initiative, work independently and be a good team player.
